Which Certificate Do You Need?

Answer a few quick questions and we will recommend the right type and show you the cost.

Three Types of Birth Certificates

Birth Certificate

$25 / $35 replacement

A standard extract from the original birth registration. Shows name, date of birth, sex, birthplace, and registration details.

Best for
Adults (16 and older) needing government ID
Adult passport applications in Canada
Social Insurance Number (SIN)
Driver's licence or health card

Certified Copy of Birth Registration

$35 / $45 replacement

A full copy of the original registration, printed on legal-sized paper with a raised seal. Includes all historical changes such as name corrections.

Best for
International adoption
Visa applications
Some immigration or citizenship applications
Ordering for a deceased person
Only one of each type can be active at a time. If you or an authorized person orders a replacement, the previously issued certificate becomes invalid. If you are unsure which type you need, check with the agency or person requesting the document before you order.

How to Order

The quickest way to get a birth certificate is through the online application. You can order new certificates, replacements, and birth search letters.

You will need:

1Your name, mailing address, and phone number
2Full details about the person named on the certificate: given names, last name, date of birth, sex, city of birth, plus parents' names, dates of birth, and birthplaces
3A guarantor (required if the person named on the certificate is 9 years old or older)
4A Visa, Visa Debit, Mastercard, or Debit Mastercard for payment
If your child is less than 1 year old and their birth has not been registered yet, use the 5-in-1 Newborn Bundle to register the birth and apply for a certificate at the same time.

You can check the status of your application 1 business day after submitting it.

Download and complete the application form, then mail it to the Office of the Registrar General.

Who Can Apply

You can apply for a birth certificate for:

Yourself, if you are at least 13 years old
Your child, if you are named as a parent on the birth registration
A child in your legal guardianship (court documents are required as proof)

Special Situations

For children under 16, the birth certificate with parental information is the recommended choice for most purposes, including passport applications. If you already have a certified copy of birth registration, it may also be accepted. Check with the requesting agency before ordering.

For passport applications, verify the required documents with Immigration, Refugees and Citizenship Canada before placing your order.

When completing the application, enter the names of the adoptive parents and the adopted person's current legal name. You cannot apply for a birth certificate with parental information or a certified copy unless the original registration has been replaced by a substituted registration on adoption.

Contact the Office of the Registrar General at 807-475-1171 or 807-475-1180 for details about applying for a substituted registration on adoption.

If you need a birth certificate for a person who has died, only a certified copy of birth registration can be issued. You must be the next of kin (parent, spouse, child, or sibling), executor, or estate administrator.

You will need to provide:

A death certificate or funeral director's proof of death
Any other documentation requested by ServiceOntario
All documents must be in French or English, or translated by an accredited translator

If all immediate next of kin are also deceased, extended family members (aunts, uncles, first cousins, grandchildren, grandparents, nephews, or nieces) or their authorized representative may apply.

If you need a birth certificate within 5 business days, you can use the premium online service or apply for emergency service in person at the Toronto location (47 Sheppard Avenue East). You must provide printed proof of urgency with your application.

Accepted proof of urgency includes:

Documentation of a medical emergency
A letter confirming new employment
A letter from a consulate or embassy confirming an appointment
Travel reservations, airline tickets, or travel itinerary
A letter confirming an immigration hearing appointment
A wedding invitation where you are one of the parties
A letter from a Registered Education Savings Plan dealer
Emergency service is not available for birth certificates with parental information, births under 16 weeks, or births registered before 1930 (which may take up to 8 weeks to process).

You can update the sex designation on your birth registration to male (M), female (F), or non-binary (X). You can also request a birth certificate that does not display the sex designation field at all. Choosing not to display it does not change the underlying registration.

To change or correct information on a birth registration, you need to request a registration amendment form from the Office of the Registrar General. The birth must be currently registered in Ontario. Once the amendment is processed, any new certificate you order in the future will reflect the updated information.
